This Privacy Policy explains how Meetzi ("Meetzi", "we", "our", or "us") collects, uses, and shares information when you use our website and scheduling services (the "Service"). It also describes your privacy rights and how to contact us.
If you are an account holder using Meetzi to accept bookings, you are a "Customer". If you book an appointment with a Customer, you are an "Attendee". In many cases, Customers control what information they request from Attendees, and Customers may be the data controller for booking information they collect through their scheduling pages.
Service data is stored in our Supabase-hosted databases and related Supabase infrastructure.
Google API Limited Use
Meetzi’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements .
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on our website and update the "Last updated" date above. Where required by law, we will provide additional notice.
Information We Collect
We collect the following categories of information:
A. Information you provide
- Account information (such as name, email address, and login credentials).
- Booking information (such as meeting title, date and time, time zone, location or meeting link, and any notes).
- Form responses and custom questions configured by Customers (for example, intake questions).
- Communication preferences (such as email or phone number for reminders, if provided).
- Support communications (messages you send to us).
B. Information collected automatically
- Device and usage data (such as pages viewed, features used, and actions taken).
- Log data (such as IP address, browser type, operating system, and approximate location derived from IP).
- Cookies or similar technologies (see Section 8).
C. Calendar and integration data (with your permission)
If you connect third-party services, we may access certain data to provide the integration. The specific data depends on the integration and the permissions you grant.
- Google Calendar: event availability and event details needed to prevent scheduling conflicts and create/update events.
- Microsoft Outlook / Microsoft 365 calendar: event availability and event details needed to prevent scheduling conflicts and create/update events.
- Video meeting providers (Microsoft Teams, Google Meet): meeting details such as meeting URLs and related identifiers needed to create or attach conferencing links.
Attendees who book with a Customer do not get access to the Customer’s full calendar; they only see the availability and booking information that the Customer chooses to present through the booking page.
D. Payment information (Stripe)
If payments are enabled, payments are processed by Stripe. We do not store full payment card numbers. We may receive limited information from Stripe (such as payment status, the last four digits of a card, billing country, and transaction identifiers) to provide the Service, handle refunds, and for accounting.
How We Use Information
- Provide, maintain, and improve the Service (including scheduling, reminders, and calendar conflict prevention).
- Create, update, and manage bookings and events across connected calendars.
- Create or attach meeting links for Microsoft Teams, or Google Meet when enabled.
- Process payments and manage billing (when applicable).
- Provide customer support and respond to requests.
- Monitor, prevent, and detect fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our agreements.
- Analyze Service performance and usage using privacy-friendly analytics (Umami).
How We Share Information
A. With Customers (for bookings)
If you are an Attendee, the information you submit through a Customer’s booking page will be shared with that Customer so they can provide the requested appointment or service. Customers may use that information for their own purposes, and their privacy practices may differ.
B. With service providers (processors)
We use trusted service providers to run and improve the Service. These providers process information on our behalf under contractual obligations to protect it. Examples include:
- Supabase (database and backend infrastructure).
- Umami (privacy-friendly website analytics).
C. Communications (email and SMS)
- We may send transactional messages such as booking confirmations, reminders, reschedule notices, and account-related emails. If SMS reminders are enabled, SMS messages may be sent via a third-party SMS provider and may involve additional charges.
- You can opt out of marketing emails using the unsubscribe link in those messages. If you receive SMS reminders, you can opt out by replying STOP (where supported). Opting out of marketing messages will not affect essential transactional messages related to the Service.
D. Legal and safety
We may disclose information if we believe it is reasonably necessary to (a) comply with applicable law, regulation, legal process, or governmental request; (b) protect the security or integrity of the Service; or (c) protect the rights, property, or safety of Meetzi, our users, or others.
E. Business transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction. We will take steps to ensure the information remains protected.
Data Retention
We retain information for as long as necessary to provide the Service and for legitimate business purposes such as complying with legal obligations, resolving disputes, and enforcing agreements. Customers may be able to delete certain booking data through their account settings.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no method of transmission or storage is 100% secure.
Bot and abuse protection
To protect Meetzi from spam, abuse, and automated activity, we use Cloudflare Turnstile on certain forms, such as sign-up, login, and password reset. Turnstile may process technical signals to help determine whether a visitor is human and to protect the security of our services. Your Rights
Depending on where you live, you may have rights to access, correct, delete, or object to certain processing of your personal information. You can also withdraw consent for integrations by disconnecting them in your account settings. To request access or deletion, contact us using the details in Section 12. If you are an Attendee, you may also need to contact the relevant Customer because they control the booking information you submitted to them.
Cookies and Analytics
We use cookies or similar technologies for essential functionality (such as keeping you signed in) and to understand how the Service is used. We use Umami Analytics, which is designed to provide privacy-friendly, aggregate website metrics. You can control cookies through your browser settings. Note that disabling certain cookies may affect functionality.
International Data Transfers
We may process and store information in countries other than your own, including where our service providers (such as Supabase) operate. When we transfer information internationally, we take steps designed to ensure appropriate safeguards are in place as required by applicable law.
Children’s Privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will take appropriate steps.
Third-Party Services
The Service may link to or integrate with third-party services (for example, Google, Microsoft, Stripe). Their privacy practices are governed by their own policies. This Privacy Policy applies only to Meetzi.
